We are seeking an Executive Assistant to join our team at our offices in Brooklyn. This is an amazing opportunity for someone looking to support a growing, mission-driven firm.

In this position, you will provide support to the CEO, Alexander Grashow. Alexander is a recognized authority on leadership development, business evolution and personal development. He is a renowned facilitator, speaker, and advisor to leaders around the world, with a broad reach into the global business, philanthropic, entrepreneurial and creative communities. He is co-author of The Practice of Adaptive Leadership (Harvard Business Press, 2009) and Leadership in a Permanent Crisis (HBR). Alexander also serves as Chair and Co-Founder of the US Africa Children’s Fellowship. He is a creative force, giant music fan, dedicated father and mentor to many.

Our ideal candidate has a strong work ethic with at least 3 years experience as an Executive Assistant. You are someone who really loves to think ahead and solve issues before they even arise. You will need to be an organizing guru, have a sharp eye for details, and genuinely enjoy juggling shifting priorities and tasks. It is key that you are intellectually curious, personable, relentless, and confident. Because we are a small but growing team, you will also handle some workshops, events and office related work. You will have prior experience in supporting a dynamic leader with dynamic needs. We are not only looking for someone who can keep up- but with time in the position- begin to forecast and anticipate.

You possess strong, positive interpersonal skills with the ability to handle routine and impromptu assignments with minimal supervision yet be flexible in taking direction. You are able to exercise good judgement and discretion with sensitive/confidential information.

Responsibilities:

  • Overseeing calendar management and scheduling
  • Organizing international and domestic travel arrangements
  • Fielding and directing appropriate calls and emails
  • Provide follow-up to certain clients and partners
  • Preparing for and providing support during meetings and workshops
  • Maintaining clean and orderly office environment, kitchen and supply rooms; ordering supplies as necessary
  • Maintaining updated contact information in firm-wide database
  • Conducting occasional research
  • Providing general administrative support to entire office and other team members as needed
  • Support personal tasks for CEO
  • Taking on additional projects and duties as needed

Requirements:

  • At least 3 years of prior corporate Executive Assistant experience
  • Experience with heavy calendar and travel coordination required
  • Positive, helpful, and collaborative team player
  • Strong communication and interpersonal skills
  • Proficiency in Microsoft Office Suite and Google Drive
  • Willingness and availability to work after hours, as needed

Manager

You will have prior experience in supporting a dynamic team with dynamic needs.

Responsibilities:

  • Work alongside Faculty members to ensure the smooth and successful delivery of client facing content
  • Evaluate and improve delivery practices and techniques
  • Design, organize and deliver a variety of internal and public facing initiatives
  • Support team in client management / communication needs.
  • Create implementation plans and manage their execution while maintaining day-to-day knowledge of the implementation project status
  • Establish check points with the Faculty members to communicate project updates, client feedback and any new developments.
  • Support the Brand related initiatives with information and content tracking among internal and external parties.
  • Develop outreach initiatives to targets private and public good efforts


Requirements:

  • At least 3+ years of prior experience as a Project Manager
  • Strength in creatively problem-solving and critical thinking
  • Comfortable with web, mobile and software technologies
  • An independent work ethic and drive
  • Strong instincts for knowing when to escalate
  • Strong organizational, communication skills, both oral and written
